What's New in Releventful

Explore what's new in Releventful, including Rae AI, an improved sales pipeline, streamlined workflows, an updated event portal, enhanced reporting, and new tools to simplify sales, event planning, and client communication.

Written by Naomi Sherman

Releventful is bringing sales, event planning, client communication, and business reporting into a clearer day-to-day experience. This update introduces Rae, our AI assistant, alongside improvements to the pipeline, workflows, portal, BEOs, and mobile apps. Here is what each change helps you do and where to learn the steps.

Features are rolling out by plan and account. Your team can review Rae’s suggestions before sending a message, publishing a workflow, or changing an event. Optional AI features may require separate access.

Find and act on the work that matters

A clearer sales pipeline

See leads by stage, open a lead card to review the conversation and recent activity, and take the next step without leaving the pipeline. The lead panel brings the portal, event and invoice details, tasks, notes, files, and quick actions closer to the work you are doing. A separate Lost stage helps keep inactive opportunities out of your active pipeline.

AI Sales Assist

Rae helps identify leads that may need attention, such as quiet inquiries or overdue follow-ups. It explains the signal and prepares a follow-up message for your review. Your team chooses whether to edit or send it.

Ask Rae in your daily work

Ask Rae about a lead, an event, or business activity from the relevant part of Releventful. Rae can summarize available information, explain what may need attention, and prepare drafts or suggested next steps. Check the source details and the proposed action before using the result.

Rae website chat

Add Rae to your website to answer approved questions, collect inquiry details, and help visitors request or book an appointment when booking is configured. Your team can review the conversation and take over when a personal response is needed. The guidance and follow-up rules are set by your business.

Build a client journey with less manual setup

Workflow Studio

Create a new workflow or revise an existing one in a draft. See the steps in a timeline, edit the messages and tasks, review how changes may affect existing events, and publish when the process is ready. Saving a draft does not replace the live workflow.

Create and revise workflows with Rae

Describe your process to Rae by typing, speaking, or providing a document. Rae can prepare a draft with messages, To-Dos, planning questions, timeline items, documents, insurance steps, and payment schedules. You can also ask Rae to revise part of an existing draft. Review the wording, timing, recipients, and event impact before publishing.

Bring packages and add-ons into Releventful with Rae

Have a pricing document ready? Upload it and let Rae propose packages and add-ons. Compare each service and unit price with your source, choose what to create, then finish taxes, deposits, and package contents before using the new services. Your existing services stay as they are.

Start a contract template with your existing agreement

Upload your contract and Rae will prepare a reusable draft, including suggested places for business, client, and event details. Review the wording and signing area, choose Use in contract editor, then Save. Nothing is sent to a client until your team sends a contract.

More timely follow-ups

Sales campaigns and event workflows can respond to milestones such as a sales stage, booking, or proposal acceptance. Timing options include shorter delays and follow-ups when a lead has not replied. These settings help you follow up consistently while keeping the message and timing under your control.

Give clients and event teams a clearer place to work

A refreshed event portal

Planning details, messages, tasks, documents, and payments are easier to find in the event portal. Staff can move through an event’s financial details, schedule, timeline, contacts, To-Dos, documents, and notes while keeping the event in view.

Rae assistance in the event portal

When your business enables the optional portal assistant, clients and other authorized participants can ask Rae questions about their event. Rae uses information they are allowed to see. Your team can review conversations and respond when a question needs a person or information is missing.

More flexible event communication

Choose who on your team can see event information and receive certain updates. When someone outside the portal team only needs a particular conversation, you can include that person without giving them broad portal access. Review the audience before sharing files or sensitive details.

A better BEO workflow

Set up standard BEO sections and reusable layouts, then tailor a BEO for one invoice. You can rearrange sections, move items, and adjust BEO wording or setup instructions without changing invoice prices or the account template. Preview the saved PDF before sharing it or requesting a signature.

Bring Planur floor plans into an event

Planur gives your team a way to create and share a live room layout. When Planur is available for your account, open the event’s Floor Plans tab, select Add Floor Plan, paste the Planur share link, and select Add Floor Plan. The shared layout stays with the event for your team to review and can be shown to clients when you choose to share it.

On-demand employee clock-in and time management

Employees can now clock in and out from the Releventful mobile experience for approved work that is not tied to a scheduled event shift. Your business can allow clock-in without location, record the employee’s location, or require clock-in near its default venue. Managers can review scheduled and on-demand time together, then correct a time, role, or rate when needed. On-demand clock-in records work time; it does not add someone to an event schedule.

A refreshed employee mobile app clock-in and clock-out experience is coming soon!

Plan the team each event needs

In Workflow Studio, you can set the employee roles and number of people needed for an event type. You can adjust those requirements for an individual event in its Scheduling tab. Releventful shows how many people are scheduled for each role and highlights gaps, so your team can see what still needs coverage. Setting the requirements does not assign employees or send shift invitations; schedule the people for the event when you are ready.

Understand your business and keep information current

Venue Intelligence and improved reporting

Use clearer dashboards, saved views, filters, and visual reports to see how your business is doing. Rae can help explain available figures and suggest where to focus next. Report totals remain based on Releventful’s business records and the access your team has.

Business knowledge for Rae

Give Rae approved information from your website and business documents so its answers reflect your services and policies. Keep brand and audience boundaries in mind, test sample questions, and update the guidance when your business changes.

More ways to manage the details

Updated mobile apps (Coming Soon!)

Review and manage leads from your phone, alongside refreshed event and portal tools. The mobile experience gives team members a practical way to follow up and check event work away from their desks.

More flexible invoice and payment settings

For businesses with multiple brands, an invoice can use the appropriate brand. Payment workflow settings can be reviewed before supported changes are applied to unpaid payments. Minimum-spend settings can track qualifying purchases by tax type. Check the invoice and payment schedule after changing a financial setting.

See where an invoice stands with accounting

If you connect QuickBooks or Xero, the invoice editor can show whether an invoice is waiting, syncing, synced, or needs attention. Check the last update and follow the available retry or client-matching action if the accounting copy did not go through.

Appointments, event planning, and connected tools

Appointment availability and booking help prospects take the next step. Event planning improvements also cover insurance tasks and event-level floor plans where enabled. Contract templates can use contract-specific dates, and multi-brand businesses can choose a brand when a lead is created through Zapier. Availability of particular integrations and payment currencies depends on your account and connected services.

Connect the calendars your appointment hosts use

Appointment hosts can connect Google Calendar or Outlook so Releventful checks their busy times before offering a booking. Linked appointments are saved in Releventful and copied to the host’s primary calendar. Each host chooses which calendars to check and saves those settings before opening booking to clients.

If you manage sales, start with the pipeline and open a lead card. If you manage an event, open the event and use its invoice, portal, messages, tasks, and BEO as needed. If you manage the whole process, review your pipeline and upcoming events first, then ask Rae for a summary or a draft where it saves you time. Always review a proposed message, workflow, or financial change before making it live.

Customers on current Releventful plans may be eligible to try AI features and optional add-ons for one month. The offer applies to AI, not the base subscription. Your available features, usage allowance, start date, and ongoing price depend on the plan and rollout details shared with your account. If you are on an earlier plan, contact our team for a personalized quote.
