Adding an External Person to a Portal Message Without Giving Them Portal Access

Learn how to include an outside recipient in a portal message without giving them portal access or access to previous conversations.

Written by Naomi Sherman

Add an email-only recipient to a selected message when they should reply without receiving portal access or earlier history.

Why this matters

A portal template is a reusable starting point for an event type. The event portal is the view for one client. Build the repeatable experience once, then check a sample event to see what the client will actually receive.

Before you start

Check the event type and who should see the portal. An account role with portal editing access may be required.

In Releventful

  1. Open the event portal and click Messages > New Message.

  2. Click Add/Remove people from this message, add the outside person's email as a recipient for this message, then click Done.

  3. Check the recipients and attachments, click Send, then verify the sent message; do not add the person as an event client.

A useful decision

Review the portal as the client before inviting them. An internal file or task belongs to the same event but may be intentionally hidden from the client.

Check the result

Preview the client's portal and verify access. A template edit may need to be applied to an existing event separately.

Important to know

Saving a template does not automatically prove an existing client's portal changed. Review event impact, open the event portal, and inspect the client view before sharing it.
