Managing Portal Access

Learn how to manage portal access so the right clients, contacts, and employees can view and interact with an event.

Written by Naomi Sherman

Invite only the people who need portal access and review their role. Remove access when a person should no longer see the event.

Why this matters

A portal template is a reusable starting point for an event type. The event portal is the view for one client. Build the repeatable experience once, then check a sample event to see what the client will actually receive.

Before you start

Check the event type and who should see the portal. An account role with portal editing access may be required.

In Releventful

  1. Open the event and click Event Info > Manage Contacts > Add Client or Add Contact.

  2. Enter the person's name and email, choose their relationship and click Save; for staff portal access, use Manage Employees and tick Has Access to Portal, then Done.

  3. Use View Event as Guest or the staff Portal button to check what they can see before emailing the event link.

A useful decision

Review the portal as the client before inviting them. An internal file or task belongs to the same event but may be intentionally hidden from the client.

Check the result

Preview the client's portal and verify access. A template edit may need to be applied to an existing event separately.

Important to know

Saving a template does not automatically prove an existing client's portal changed. Review event impact, open the event portal, and inspect the client view before sharing it.
