Understanding What Clients Can See in the Portal

Learn how to preview the client portal and control which tasks, documents, messages, and event details clients can see.

Written by Naomi Sherman

Preview the portal as a client to see which tasks, files, and event details are shared. Internal notes should remain private.

Why this matters

A portal template is a reusable starting point for an event type. The event portal is the view for one client. Build the repeatable experience once, then check a sample event to see what the client will actually receive.

Before you start

Check the event type and who should see the portal. An account role with portal editing access may be required.

In Releventful

  1. Open the event portal and click View Event as Guest.

  2. Open Tasks, Documents and Messages to see what a client can access.

  3. If an item is missing or private, exit guest view, open that item's sharing or recipient controls, change them and click Save; preview again.

A useful decision

Review the portal as the client before inviting them. An internal file or task belongs to the same event but may be intentionally hidden from the client.

Check the result

Preview the client's portal and verify access. A template edit may need to be applied to an existing event separately.

Important to know

Saving a template does not automatically prove an existing client's portal changed. Review event impact, open the event portal, and inspect the client view before sharing it.
