Purpose of this article

This article explains how email communication works in Releventful, including sending, replies, notifications, and read visibility.


Sending Emails

Releventful sends emails that are branded for your business. Clients see your business name and sender information, helping them immediately recognize who the message is from.

For instance, if your name is Sara and your business name is Yummy Bakery.

Your email will look as follows to your client

Emails sent through Releventful are transactional in nature and are tied directly to a lead or event. This includes proposals, contracts, invoices, reminders, and direct messages.


Replying to Emails

Clients can reply to emails by using the reply button in their email client or by clicking the Reply button within the email itself. Replies are automatically routed back into Releventful and associated with the correct lead or event.

To ensure replies are processed correctly, replies must be sent from the original email received from Releventful. If the recipient changes the email address before replying, Releventful may be unable to route the response.


Email Recipients and Team Notifications

When creating an email, you choose which contacts should receive the message. Selected recipients will be notified along with any applicable members of your event team.

When creating emails in Releventful, you can choose who should be the recipients. Once the recipients are chosen, they will be notified along with your event team.

Team Notifications

Team notifications are controlled by:

  • Employees added to the event

  • Portal teams

  • Admin permissions

Portal Team On Demand

You can choose who receives emails by managing which employees are added to the event on-demand.

Admins are automatically added to events to ensure visibility into activity. If you would like certain admins to retain access without receiving notifications, this can be managed using portal teams.

How do I prevent certain admins from being notified on all event activity?

To prevent certain employees with admin permission from being notified on all event activity, you can setup your portal team.

Note: Admins who are not added to a portal team will still have access to the event.


Email Read Receipts and Visibility

Releventful provides read receipts to offer insight into whether an email may have been opened. Read receipts depend on the recipient’s email client allowing images to load.

Many modern email providers, including Outlook and Apple Mail, block images by default. When images are blocked, Releventful cannot detect whether the email was opened, even if the recipient viewed the message.

Because of this, an email marked as not read does not necessarily mean it was ignored. Read receipts should be treated as a general indicator rather than a confirmation.

Replies, proposal views, contract signatures, and payments are always the most reliable indicators of engagement.


Monitoring Sent Messages

You can review message delivery and scheduling in two places:

  • Within individual event messages

  • In the Scheduled Notifications area, which lists all automated and scheduled communications

These views confirm when a message was sent and who received it.
