Create a Song Selection To-Do

Learn how to create song selection To-Dos to allow your client to choose songs for their event.

A song selection to-do will allow you to gather song requests from your client for their event. These song requests can be for both specific moments in the event, as well as general category playlists. For a wedding, you may want to capture specific song requests for the first dance, garter toss, father/daughter dance, etc. A song selection to-do will allow for both general playlists to be created, as well as being able to identify specific songs for the big moments at the event.

The song selection process consists of a planning form and song selection by category. Please refer to the steps outlined below to create your song selection to-do.

Step 1: Establish Your Categories

  1. Click on Settings in the side navigation

  2. Click on DJ Settings and then Song Selection

  3. Click + Add at the bottom to add new categories and add as many as you'd like (see image above for example)

These categories can be used to suggest songs to clients and also build their event playlists by category.

Step 2: Create your Song Selection Planning Form

Song selection by planning form will enable you and your client to identify song requests for specific moments at the event. To capture these songs, you will need to create a form via the form templates menu.

To add song selection to your planning form, this can be done by adding either the Two Column or Three Column List option to your form. See adding form options to learn how to add them to your form.

To add song selection:

  1. Click Templates in the side navigation

  2. Click Form Templates

  3. Add/edit your Form and insert a Two Column List or Three Column List

  4. Add titles to your Rows to collect multiple song selections (see image below)

  5. Click the final column tab (either Column 2 or Column 3 depending on which list you've chosen) to edit the options.

  6. Under the Column Title section, choose Song Selection for the Data Type.

Adding a Playlist Suggestion to a Row

If you would like to suggest songs for a song selection, you can add one of your playlists. To add one of your playlists for a song suggestion follow the steps outlined below.

  1. Follow the steps above to add song selection to your form.

  2. In the final column tab (either Column 2 or Column 3), turn on Add Playlist Suggestion. This will add the Playlist Suggestion option to each row (see image below)

  3. Turn on Playlist Selection Only to limit the selections to only this playlist

  4. Click on Row Settings and add your playlist to the Suggested Playlist for each row.

    ℹ️ Note: If you do not select a playlist for a row, the playlist button will be automatically removed from that row.

  5. If you have custom song selection settings for this row, you can override the Song Selection Source by turning off Inherit Song Selection Source from To-Do.

    ℹ️ Note: after this setting is off, you can choose Spotify or My Songs for the source.

  6. If you have custom Top Hits settings for this row, you can override the Top Hits settings by turning off Inherit Top Hits settings from To-Do.

    ℹ️ Note: after this setting is off, you can change the Top Hits selection preference and top hits source.

Step 3: Add a Song Selection To-Do

  1. Navigate to the event you want to add song selection to and choose the To-Dos tab (If you are on our Song Planner Only plan, this tab will say Song Planning), then click + Add, and select Add Song Selection To-Do.

    ℹ️ Note: You can alternatively create a Portal Template To-Do with song selection to automatically apply to an event type once conditions apply (i.e. the event is booked).

  2. Notice that two of the icons at the top of the page are highlighted in green, showing that song selection and the planning form are enabled for this to-do (see below).

  3. Complete the To-Do information, including the due date and reminder dates, and assign the To-Do to the client.

    ℹ️ Note: All employees added to this event can view this and only need to be added if they need to complete this or receive an email reminder.

  4. If you would like to add a time to the do, toggle on the time setting. This will reflect a time next to the to-do in the song planning menu.

  5. Select the Song Selection Settings tab at the top of the page to add the first song selection category. Each category that is added is a playlist that the client can add their song requests to.

  6. Enter the number of songs allowed for this category and then click + Add.

  7. Continue adding categories to this To-Do.

Step 4: Choose Your Song Selection Settings

Song Selection Source

Choose from Spotify & Apple Music or you own personal song list (see article on uploading your song library).

Top Hits Song Selection

Toggle this option on or off to choose whether or not your client will be able to choose songs from Top Hits lists.

Top Hits Source

Here you can choose from Releventful's curated Top Hits lists, or build your own within the Song Manager. Releventful's list provides over 20 different Top Hits lists ranging from the Most Popular, Top Decades, Top Wedding Songs, and more.

Spotify Playlist Sharing

Choose whether or not your client will be able to choose songs from Top Hits lists.

Client Permissions:

  1. Song Category Management Permission - Allow your client to create and manage song categories above and beyond what you have created.

  2. Client Live Song Mode Permission - Allow your client to turn live mode on or off in the mobile app. This could be helpful if they want to allow live song suggestions from their friends and family prior to the event.

Notes

A notes field is available to you to add notes about the song selections to the Song Planning display. If you would like to enable notes, enable them with the Turn On Notes setting.

If enabled, determine if the client can view and add to the notes section with the setting that follows.

Step 5: Attach the Song Selection Planning Form

  1. Select the Form Settings tab at the top of the page to proceed to attach the song selection planning form.

  2. Click the Load a Form hyperlink.

  3. Select the song selection form from the list that appears to attach it to the song selection to-do.

Step 6: Save the To-Do and Send to your Client

When the song selection form and category settings are complete, select the Save button at the top of the page and select Save from the drop-down list that appears.
