Set up a repeatable client journey without having to remember every follow-up. Start with inquiry and booking, then add the planning work clients and staff need.

1. Plan the journey

Choose an event type and list the work needed before booking, during booking and afterward. Decide who receives each item, what starts it and when it should happen.

2. Prepare the workflow

  1. Open Automations > Manage Portal Templates, select the event type and choose Edit workflow. Create or open a draft.

  2. Select Add workflow and choose the kind of work. Use Create with Rae, Build manually or a copy of an available saved workflow.

  3. Review every card: starting conditions, recipients, wording, forms, documents, deadlines and message schedules.

  4. Check which workflows and notifications should be on when published. Keep internal tasks private.

3. Test and publish

  1. Select Save draft, then Test the portal to check the saved experience.

  2. Walk through the saved experience, make corrections and save again.

  3. Select Review saved draft, then Review event impact. Read the proposed changes and confirmation before publishing.

  4. Publish settings alone or deliberately select available existing-event changes. Check the results.

Saving a draft does not make it live. Publishing an enabled workflow can create tasks or send real messages when its conditions are met. Review existing events separately; do not assume every event will receive the change.

The original Steps 1-3 screens

After selecting the event type in Manage Portal Templates, open Advanced settings to reach the original editors. Step 3 contains planning/client portal automation settings. These editors save directly to live configuration; use them deliberately when a setting requires that screen.
