Setting Up Booking Rules

Learn how to set booking rules that define when an event becomes officially booked and test that the correct workflows begin once those requirements are met.

Written by Naomi Sherman

Set the conditions your venue requires before an event becomes booked, then test them on a sample event.

Why this matters

These documents move a client from an offer toward a confirmed event. A saved draft, sent proposal, accepted proposal, signed contract, and booked event each mean something different; check the actual status before the next step.

Before you start

Open the correct event and confirm its client, prices, dates, and booking requirements.

In Releventful

  1. Click Automations & Operations > Manage Portal Templates, select the event type and open Booking Your Lead.

  2. Click Edit Booking Settings, choose the acceptance, signature or payment requirements that count as booked, then click Save.

  3. Create one sample event that meets the rule and one that does not; check their Booking status and newly scheduled work.

How to make the most of this step

Open the event type's portal template and its Booking Your Lead settings. Choose what your business counts as booked, such as the required acceptance, signature, or payment condition supported by your setup. Test a sample event that meets the rule and one that does not. Check which planning tasks or messages start when the event becomes booked.

A useful decision

The event type's booking rule represents what your business considers confirmed. Test the rule with a sample event and check what client planning work begins after the status changes.

Check the result

Open the event to confirm what was saved, sent, accepted, or signed. Follow up only after checking the actual status.

Important to know

Saving a document differs from sending it. Proposal acceptance, contract signing, payment, and the event's booking rule can each start a different next step.
