Share documents and files through the event portal

Learn how to upload and share documents through the client portal while controlling client access and verifying visibility.

Written by Naomi Sherman

Keep event files in one place and choose who can view each document before asking the client to open it.

Add a document to an event

  1. Open the correct event and select Documents.

  2. Select Add Document, then choose or drop the files to upload.

  3. Wait for the upload to finish. Find the document in the event's document list.

  4. Open its options menu and select Share.

  5. Review the people and sharing choices shown. Set the intended access and wait for each change to finish before closing the dialog.

  6. Preview the client's portal and open Documents to confirm the file is available to the intended person.

Uploading a file and giving a client permission to see it are different steps. If Share is unavailable, check your permission to manage that document. Sharing one file does not grant access to other event information.

Include a reusable document in a workflow

Open the event type in Automations & Operations > Manage Portal Templates, then open Edit workflow. Add or select the document item, check Share this document with the client and its timing, and save the draft. Review the saved draft and event impact before publishing. A template change is separate from changing access to a file already on one event.

Check the client view

Confirm the event, intended recipient and document sharing before sending a notification. A notification does not prove the recipient can open the file. Keep internal documents private.
