The QuickBooks Integration

Learn about Releventful's QuickBooks integration; what is sent through the integration and how data is managed.

Releventful's QuickBooks integration allows you to send invoices and payment records from Releventful directly to your QuickBooks account.

Follow the steps below to establish your QuickBooks integration:

  1. Select the settings gear at the bottom of the left-hand navigation bar.

  2. Select "Integrations."

  3. Select "Accounting Software" in the list that appears.

  4. Select QuickBooks instead of Xero.

  5. Enter your QuickBooks account details by selecting the "Connect to QuickBooks" button on the page.

ℹ️ Note: You can connect a different QuickBooks account per brand.

The QuickBooks integration will send invoices and processed payments from Releventful to QuickBooks. If you prefer that all invoices and payments are synced automatically to QuickBooks, toggle the "Automatic QuickBooks Syncing" setting on from the same setting page described above. When enabled, all invoices and processed payments will be sent to QuickBooks without you needing to send this data over manually.

Manually Sync to QuickBooks

You can manually sync an invoice and processed payments to QuickBooks if needed. From the quick-close invoice screen, select the "Send to QuickBooks" button at the bottom of the left-hand menu:

Each individual payment request within an invoice will also have an icon to the right-hand side of the notification icon for the integration. If green, this indicates that the payment has been synced with QuickBooks.

Product / Service Mapping

Releventful allows you to control which QuickBooks Product/Service items are used when invoice data is synced.

For individual Packages and Add-Ons, you can select the appropriate QuickBooks Product/Service directly within the item setup in Releventful. When that package or add-on is included on an invoice, Releventful will use the selected Product/Service when the invoice is sent to QuickBooks.

You can also configure default Product/Service mappings for system-generated invoice lines.

Go to:

Settings → Business Brands→ Select Your Brand→ Scroll down to QuickBooks section

From the QuickBooks settings, you can configure:

  • Invoice Line Items Default — Used for invoice line items or fees that do not already have a specific QuickBooks Product/Service assigned.

  • Service Charge Product/Service — Used for the service charge calculated by Releventful.

  • Tax Product/Service — Used for the tax amount calculated by Releventful.

  • Alcohol Tax Product/Service — Used for the separate alcohol tax line when applicable.

These mappings allow you to categorize these amounts separately in QuickBooks instead of having all system-generated lines use the same default Product/Service.

Important: These settings control the QuickBooks Product/Service assigned to the synced invoice line. They do not change how Releventful calculates the amount.

The QuickBooks Integration Guide

Listed below are specific details regarding the data that is passed through the QuickBooks integration.

  • Proposals are not sent through the QuickBooks integration. Only invoices are created and updated through the integration.

  • The invoice number that is generated in Releventful when a proposal is accepted is the invoice number that comes through to QuickBooks.

  • Only one discount is supported within the QuickBooks integration. Keep this in mind if you apply more than one discount to a client's invoice in Releventful, as both discounts will not come over in the integration.

  • The date that is displayed on the invoice in QuickBooks is the event date set within Releventful.

Tax

Releventful calculates the tax amount before the invoice is sent to QuickBooks.

For tax-exclusive invoices, the calculated tax amount is sent to QuickBooks as a separate invoice line. Releventful does not rely on QuickBooks to calculate the tax amount for the invoice.

You can choose the QuickBooks Product/Service used for this line under:

Settings → Business Brands→ Select Your Brand→ Scroll down to QuickBooks section → Tax Product/Service

Because the tax is already calculated in Releventful, the QuickBooks Product/Service selected for Releventful invoice lines should be configured appropriately for your QuickBooks accounting setup so that QuickBooks does not unintentionally apply an additional tax calculation.
