Setting Up Your Inventory

Releventful's inventory tracking allows you to automatically track the inventory needed for your events. In this article, we're going to walk you through how to set up your inventory.

Before You Begin

Before you begin adding your inventory into Releventful, there are a couple of ways you could enter your inventory.

  • Enter each and every item you have

  • Enter groups of items you have

To provide the best tracking of the inventory you use we recommend creating the inventory in Releventful at the lowest level that makes sense for your business.

For instance, if the services you sell requires you to allocate 5 separate items of inventory, then create those 5 items in Releventful.

If those 5 items are logically combined into one single item (e.g. a shipping container with 5 items inside), then create the single item for your inventory tracking instead.

Create Your Inventory

To add a inventory

  1. Click on Inventory (icon shown above) in the side navigation

  2. Click Add Inventory

  3. After you've filled out all of the details about your inventory and click Save to finish.

Inventory Tagging & Inventory Suggest Technology

Releventful provides intelligent suggestions to let you know when inventory is out and what inventory you can use instead.

Using the inventory tags will enable this feature.

Correct usage of tagging

To use inventory tagging, you must tag the lowest level of inventory that is being tracked.

For instance, if you sell an item that requires 4 items of inventory to be allocated, each one of those 4 items could have a tagged equivalent if you have replacement inventory available.

Let's take DJ equipment for example. When Package A is sold the following inventory must be allocated:

  • One speaker (Speaker A, tag: speaker)

  • One box of cables (Cable Box A, tag: cables)

  • One laptop (Laptop A, tag: laptop)

  • One control board (Control board A, tag: control board)

For each item listed above, if you have backup inventory, you would enter a second set of inventory representing the backup inventory.

  • Speaker B ( tag: speaker )

  • Cable Box B (tag: cables )

  • Laptop B (tag: laptop)

  • Control board B ( tag: control board )

ℹ️ Note: you can also be more specific in your tags to describe the type or version of an item.

QR Code Scanning

If you have a QR code that you would like to scan for your inventory, click Choose File next to QR Code to add the QR code. The QR code added here will be visible in all inventory reports and invoice detail reports.

Temporarily Removing Inventory Availability

If you have an item in inventory that is broken or is being serviced, you can remove it from availability by checking the Out of Service check box.

Create and Update Associated Add-On or Package

If you are looking to create an Add-On or Package for your inventory item, you can create this item simultaneously as you create the inventory item for the first time.

At the bottom of the inventory details page, check the box for Is Sellable item. Under this setting, select either Package or Add-On to indicate if this inventory item should be created as a Package or as an Add-On within the system.

If this item does not already exist in the Package or Add-On list, the item will be created. After the initial creation of the Package or Add-On, any updates made to the inventory name, description, and current value will automatically update the existing Package or Add-On created through this process.

💡Pro Tip: If you are planning on selling your inventory items, we recommend that inventory items are only associated to a single package or add-on. This ensures that when updates are made to the inventory item, the single associated package or add-on is also updated.

ℹ️ Note: Updating the Package or Add-On name, description and price directly at the Add-On or Package level will not carry over to update the associated inventory. The updates made directly on the inventory item will carry over to the inventory associated in the Package or Add-On list.

Allocating Inventory As You Sell

After you have added all of your inventory into Releventful. You can automatically allocate your inventory based on the packages or add-ons you sell to your customers.
