Choose the right Quick-Close settings for an invoice

Configure the client experience for one invoice, from the first proposal through signing and payment.

Configure the client experience for one invoice, from the first proposal through signing and payment.

Steps

  1. Open the event's Invoices area and choose the document you want.

  2. Review which document is active: the proposal before acceptance, or the invoice after acceptance. An invoice without a proposal is active immediately.

  3. Open the active Proposal or Invoice tile to edit its content.

  4. Review its display settings and the invoice-level contract/payment choices.

  5. Preview the full client path and the recipients before publishing or sending.

Line-item and ClientCart editors

A line-item document opens the item editor, where you can adjust descriptions, quantities, prices, fees, discounts and Section Titles. Use its Settings tab for the document display choices.

A ClientCart proposal uses the loaded proposal template's layout and selection controls. Review what the client can choose and any selection limits. Editing this document is separate from changing the reusable template.

Display settings

Review Show Event Info, Show Business Info, descriptions and proposal notes. Check which text is internal and which will be visible to the client. At the invoice level, Show Invoice, Show Contract and Show Payments determine the included parts of the experience. Accounting sync is a separate business setting, not another client step.

Recipients and signatures

Review every person's access: view, pay, sign, or both pay and sign. Multiple client signers can sign one agreement. Check any business counter-signer and automatic signing setting. Invoice/payment access can depend on the document's signing requirements; preview the actual sequence rather than assuming every invoice has the same gate.

Proposal expiration

Use the proposal expiration control to choose the last date the offer should remain available. Review the currently published proposal and expiration date before relying on its reminders.

The current notification logic prepares expiration notices three days before the expiration date and on the expiration date, scheduled for 9 AM in the account time zone, when the proposal meets the sending requirements. Actual delivery depends on notification processing; 9 AM is not a guaranteed arrival time. Changing the date can replace pending notices for that proposal. Accepting, deleting or unpublishing it can remove pending expiration notices. Already sent messages remain history.

Payments and reusable schedules

Check each amount, due date, payment method and authorization. A saved payment schedule supplies reusable defaults; the current invoice has its own payment series. Correcting a reusable schedule does not mean every existing invoice has been amended.

After a client accepts

Review the active invoice before changing charges. Keep the accepted proposal and any signed agreement as records of what the client agreed to. Use supported edit/reopen controls and review whether a new acceptance/signature is needed.

Changes for other events

Use the reusable template/workflow when changing future defaults. Review changes for existing events through Review Automations; do not assume saving a template silently changes all pending work. On events with several invoices, always confirm the document name before editing.

When an expiration notice is eligible

The proposal must have been submitted, remain included and unaccepted, and have a client and expiration date. Dates that are already in the past are not newly scheduled. The system rechecks these conditions before sending and avoids recreating an already processed notice for the same date.
