Releventful's room management feature allows you to manage your room reservations and ensure that you are not overbooked for an event. Once your rooms are created in the system you can begin booking rooms for your upcoming events. Utilize Releventful’s room reservation calendar to see a list of all reserved rooms for a given day, week, month, etc.

To begin taking advantage of the room reservation feature, you will first need to create your room list. Select the settings gear at the bottom left-hand corner of Releventful. Select “Business Setup” in the list that appears and proceed to select “Rooms” from the submenu that appears.

Begin creating your list of rooms that will need to be managed and reserved through Releventful. To create a new room, select the “Add” button at the bottom of the page. Type the name of the room and add an optional description and capacity if this is information that you would like to keep on file. Select “Save” to the left-hand side to create and save the room to the room list.

Once your rooms are added to Releventful, you can begin to reserve a room for each of your events. A room can be allocated for an event within the event details tab of the event to properly reserve the room in the system.

Edit an event and scroll down to the “Room” field of the event info tab. Open the “Room” drop-down field to see the list of rooms in the system that you have created in the steps outlined previously.

Once the correct room is selected, save the changes by selecting the “Save” button at the top of the page.

To see a calendar view of all reserved rooms across the events in the system, select the calendar icon in the left-hand navigation bar. At the top of the calendar page, select the “Change Calendar” button and choose “Room Calendar” from the list that appears.

Customize your view of the calendar under the “Calendar View” button. Select if you would like to see a month of events at a time, week view or day view.

For events with a room reservation, you will see their scheduled time on the right-hand side of the display for the date indicated. The associated room reservation will appear on the left-hand side and show the name of the event within that room below.

When no room has been selected for an event, the event will appear under the “None Selected” header on the room calendar view. This indicates that no room has been identified for the event at this time.

The colors on the event are generated from the event status assigned to their event.

Click on an event from this view to be sent into the event details page for the event.

When attempting to reserve a room for a second event at the same date and time, the system will pop up a warning informing you that you already have the room reserved for this date and time.
