The simplest way to generate leads in Releventful is to utilize the website lead form. The website lead form can be embedded onto your external website and generate new leads in the system when the form is populated and submitted by your incoming clients. Outside of the lead form process, you can also create leads and events manually directly in the Releventful platform. Underneath the search magnifying glass in the left-hand navigation bar, you will see a plus symbol. When selected, you can choose to create a new event, invoice, lead or proposal. In this tutorial, we will discuss the creation of new leads and events in the system.

Each event will need to be attached to a lead. If you are creating a new event for a brand-new client that has not yet been loaded to Releventful, you will first want to create them as a lead. OR if you are just creating a new event for an existing client that is already a lead in Releventful, you can jump directly to the new event option.

To generate a new lead, select the “new lead” option from this submenu. On the new page that appears, populate the details for the new lead. At the top of the page you can select between individual and business. For a new client that is booking event services with you, you can proceed to populate the individual lead details on this page.

Ensure that all required fields are populated before generating their account. Note that the email address placed on the lead details will be the email that is used for all event communication. The client will need to use this email address when interacting with the Releventful event portal.

When all the lead details are populated, click the “save” button in the upper left hand corner of the page. As soon as the lead is generated, a pop-up message will appear for you to create the event for this client. Go ahead an give the event a name. Underneath the name, you can identify the event type for the event. Begin typing the event type in this field to have the available event type matches appear. As a reminder, event types can be created and maintained via the settings gear and navigating to the “business setup” menu and opening the event type menu.

Set the start and end dates and times for the event.

To finalize the creation of the event for this new lead, select the “create event” button at the bottom of the window. Once selected, you will see a notification appear regarding access to the event portal. All events have their own unique event portal. The event portal is how you communicate with the client, have them sign contracts, make payments, etc. You can choose to send the event portal to the client at this time or choose to send it later. As a best practice, you might want to choose to send the event portal later after you have had a chance to setup their portal with proposals, to-do’s and ensure that it is ready for their viewing before you grant them this access.

Once the event portal access notification is closed, you will be brought to the back-office management of the event for this lead. Here is where you can review the details of their event by utilizing the tabs at the top of this page. If you need to create a new event for an existing lead, you can select the plus symbol underneath the search magnifying glass and select the prompt for “new event”. When selected, Releventful will ask you which client the event is for. Locate the correct client from the list below by browsing through the list, or by searching via the search bar.

Once the client is located, select “add” to the left of their name to add an event to their account.

You will receive the same pop-up notification that I displayed earlier in this tutorial asking if you would like to grant the client access to the event portal at this time for the new event you are generating. Again, as a best practice, you may want to choose to send the event portal later after you have had a chance to setup their portal with the correct proposals, to-do’s and ensure that it is ready for their viewing before you grant them this access.

Once the event portal access notification is closed, you will be brought to the back-office management of the event for this lead. Populated the event info tab with the details of their new event.

Select the “save” button in the upper left-hand corner to save the new event details to the client’s account.
