We are able to import your existing data into Releventful regarding your clients, leads, venues, vendors, equipment and existing scheduled event details.

To properly import your data from your current system, please ensure that your current system provides a way for you to export your data. All of our import processes require a specific file format. Please find those file formats listed in our “Importing Your Data” guide. If you are not sure if you have the correct format or data, please work with your Releventful onboarding specialist who will review your file.

Please also refer to the “Importing Your Data” help article at help.releventful.com. This article provides an outline of the required file formats and available data fields that can be processed in the import files.

We have the ability when processing your import files to link specific event details to a lead or client. This is a great way to make sure a client is attached to their upcoming event. For our team to properly link event details to a client in the system, utilize the client id field in the import file to link the client to their events.

For example, on the client data import file that you provide to the Releventful team, add a column at the end of the file designated for client id. If added to the client import file, you can also add a column to the end of the event details file for client id.

If the client id on both import files matches, the event will be tied to the matching client’s account. In a similar way, the client id can also be placed on the lead import file for your leads that have associated event data. The client id on the lead import file will also tie event details to their account.

Another way to properly link a client to their events, is to simply add the client data to the event import file directly.

This is a sample import file that I am sharing with you today.

Ensure that the data in your import files is clean. For example, make sure that there are accurate email addresses listed in the email address field, and full phone numbers in the phone number field. It is important that the overall data integrity of the import files are accurate so that the data fields are properly populated in Releventful after the import is complete. If you have website URLs listed in the email address field, user accounts will not be created properly.

For the email field, make sure there are not multiple email addresses listed in this field. If you have more than one email address on file for a given client or lead, these will be added to the comments section.

Releventful has 4 custom fields that can be utilized in the event details to store any additional

information you have pertaining to the event. These fields provide the space necessary to capture additional details about the event that do not already have predesignated fields in the event detail settings.

The names of the fields can be managed in the Business Setup area of the account settings.

Please reach out to our support team via the chat bubble in the bottom right-hand corner of Releventful if you need assistance renaming your custom fields.

After our team has processed your import files, you will see this data in your Releventful account. All leads and events will be populated on the sales pipeline and calendar.
