Using the Sales Pipeline

The Sales Pipeline is a dynamic visualization tool that allows you to quickly access key information about your clients & leads.

Rename your Sales Stages

The column titles of the Sales Pipeline are customizable and can be edited by clicking "Settings" in the side navigation, selecting "Sales Settings," and then clicking "Sales Stage."

ℹ️ Note: The two columns originally titled "Closed-Won" and "Closed-Lost" will still function as won business and lost business, respectively.

Add Additional Sales Stages

Add additional stages to your pipeline to assist in monitoring where a lead is within the sales and booking process. Follow the steps outlined below to create additional sales stages in your account:

  1. Select the settings gear at the bottom of the left-hand navigation bar.

  2. Select "Sales Settings" from the menu that appears.

  3. Select "Sales Stage" in the submenu.

  4. Select "+ Add" at the bottom of the page to add additional sales stages.

  5. Name and save your stages accordingly.

Reorder your Sales Stages

Reorder the stages into the desired order by selecting "Reorder Stages" in the upper right-hand corner of the page. This will be important as you create the order the stages appear in the sales pipeline view.

Utilize any existing sales stage to trigger sales campaign emails and launch portal template automations.

Closed - Won and Closed - Lost stages are reserved by Releventful and will be used by the system to denote a booked lead or a lost lead respectively. You are free to rename these stages and put them where you would like in the pipeline.

Lead Insights

Hover over a lead card to see Sales Campaign progress and view lead insights for things like when they last accessed Releventful or when they last opened or replied to an email.

Click into a lead card to go directly to their event portal, view their lead records, or edit their event details.

Filter the Pipeline

To customize the leads displayed in your sales pipeline, click Filter to adjust the filter options.

Choosing Your Pipeline Type

Releventful offers two distinct pipeline views to help you manage your leads and events more effectively. You can select your preferred view under the How are you using the pipeline? setting. Each view supports a different workflow approach. See the descriptions for these two views detailed below to determine which one fits your process best:

Managing workflow for my leads

Choose this view if you're using the pipeline to manage the entire lifecycle of an event - from the initial lead, through closing the deal, and all the way into event planning. This view is ideal for admins who need visibility into the planning and execution of Closed-Won events.

  • Pipeline Display: Events are shown based on their event date.

  • Roll-Off Settings: Decide how long events remain visible in your pipeline after they've occurred. Options range from 30 days to 5 years post-event. Once that timeline is met, the event will be removed from the pipeline view.

  • Important Note: If events no longer appear in your pipeline, they’re not deleted, just hidden based on your roll-off settings. You can always adjust your pipeline filters to view past events or search them via the search bar at the top of the pipeline page.

Managing lead booking based on the closed date

Select this view if your primary focus is sales performance and lead conversion. This setup is geared toward users managing the sales process, as it is ideal for tracking leads and focused on closing deals.

  • Pipeline Display: Leads appear based on their set close date or follow up (not the event date submitted by the lead).

  • Roll-Off Settings: Set when leads should roll off your pipeline, based on the follow-up or close date you've defined in each lead/event sales information section.

  • This view gives you more control over managing your sales targets and timelines.

Roll-Off Setting Application

The Roll-Off setting controls how long leads or events remain visible on your pipeline after they’ve reached a certain stage. To customize this further, you can specify which pipeline stages the roll-off should apply to.

In the dropdown labeled Which Pipeline Stages Should Roll-Off Filter be Applied To, you’ll have two options:

  • All Pipeline Stages: The roll-off rule will apply to every stage in your pipeline, meaning any lead or event—regardless of its current status—will be filtered out after the specified time period.

  • Closed - Lost and Later Stages Only: The roll-off will apply exclusively to leads or events marked as Closed - Lost or in any stage that comes after. This is useful if you only want to remove leads that are no longer active, while keeping others visible for ongoing follow-up or planning.

Choose the option that best fits how you want to manage the visibility of leads and events within your workflow.

Remaining Pipeline Filter Settings

To help you tailor your pipeline view even further, additional filter options are available. These settings allow you to sort by order, event status, priority, etc. These filter settings provide added flexibility, allowing you to create a pipeline view that aligns with your team’s specific process and focus areas.
