Give clients and staff a clear task, planning form or song-selection request with the right due date and reminder.
Steps
Open the event portal and select To-Dos.
Use Add and choose the appropriate task, form or available song-selection type.
Enter the name and instructions, choose the due date/time, and select the people responsible.
For a form task, open Form Settings and load the form. Review the questions before sharing it.
For song planning, enable song selection and choose the categories, limits and supported source.
Review Notification Settings separately, save the To-Do and wait for saving to finish.
Due date is not the email date
The due date tells the assignee when to finish the task. The reminder date/time controls the reminder. Send Immediately can send a real message when the reminder is processed. Check recipients and reminder settings before enabling it.
Assignments and visibility
A task can have more than one assignee. Review the sharing/access controls as well; assigning a person and giving a person access are different choices. Do not assume every employee on the event can see every task or every client can see all staff tasks.
Review completed answers
Open the task to review its form answers or song selections. Use the appropriate client/guest preview to check the experience. Changing answers on a client's behalf changes their event record, so review what you are saving.
Edit a completed task
Use the task's completed/open controls to enable editing when needed, make the correction and save. Check its completion state afterward. Printing one task or the task list gives you a file copy; review private information before distributing it.
Reuse versus one event
Editing a To-Do on an event changes that instance. Edit a reusable form/workflow separately for future events, and use Review Automations to review changes for existing events.
