Set Up Appointment Booking in Website Chat

Learn how to configure appointment booking in Rae Website Chat, including calendar connections, host availability, scheduling rules, and notifications, so visitors can book tours or consultations directly through your website.

Written by Naomi Sherman

When you want visitors to book a tour or consultation, Rae can show available times and save one appointment after the visitor confirms it. Set the host’s calendar and booking rules before publishing this goal.

Configure booking

  1. Open Settings → Rae AI → Sales guidance & rules, then open or resume your setup draft. In Choose your goal, select Book tours or consultations.

  2. Open Requirements, availability and team actions → Change settings → Availability and appointments. Turn on the appointment availability and booking choices. Under Offer a tour or appointment, enter What will visitors book? Use one clear name, such as Venue tour.

  3. Set the Appointment time zone, Appointment length, Buffer before and after, Minimum notice, and How far ahead to offer times. Select an Appointment host and enter that employee’s hours by day; click Add appointment hours for additional periods.

  4. If the host will use Google Calendar or Outlook, ask that employee to open Settings → My Settings → Appointment calendars and connect the calendar they want Rae to check. If no external calendar is connected, turn on Use Releventful calendar when no external calendar is connected and keep the host’s Releventful schedule current.

  5. Choose whether to Notify the sales team when an appointment is booked. Team alerts go to people with sales permission and the appropriate Rae appointment notification preference. Enter the Appointment details to include in calendar events and confirmation emails.

  6. Click Save my progress. In the setup sidebar, click Test appointment availability, choose a date, and check the offered times. This uses saved settings and creates no booking. Also try a busy date or time to confirm it is excluded.

What the visitor and team should expect

In published chat, a suitable visitor selects a time, supplies any missing details, and clicks Confirm appointment. Rae checks availability again, saves the inquiry and appointment, shows confirmation in chat, and queues a confirmation email to the visitor. If the host has a connected Google or Outlook calendar, a copy is queued there. The host and selected sales team members receive alerts according to their preferences. No SMS is sent by the booking step. Booking an appointment does not reserve an event date, room, or inventory.

If a connected calendar cannot be checked, booking pauses. In Rae Inbox, open the conversation and review Appointments and Confirmation emails before telling a visitor the booking or email is complete.
