Share the event details relevant to a staff member's job, then verify they can open them without seeing private client information.
Why this matters
Roles, brand access, event assignments, and notification choices work together. Review each of them so employees can do their jobs without seeing unrelated business or client information.
Before you start
You may need an owner or administrator role to change employee access or account-level preferences.
Navigate to your event through the pipeline, calendar or searching directly
Open Event Menu
Sharing Documents
Select Documents, side panel
Click + Add Document or use the Three Dot menu to the right of the document to adjust the sharing rules
Click Share
Check which personnel Can View This Document
Click Close
Sharing To-Dos
Select Add Task, side panel
Click Edit To-Do
Navigate to Assigned To
Enter the name, and select the person responsible
Click Save, top left
Open the employee's shift and click Portal to confirm the item appears without exposing unrelated client details.
A useful decision
Scheduling staff for an event does not mean every client document is shared with them. Open the staff portal view to confirm the exact task or file they need is visible.
Check the result
Check the person's access and notifications from their role. Review their event assignments separately.
Important to know
A role, brand assignment, and event assignment can each limit access. A missing alert may also be caused by the employee's communication preferences.
