Managing Staff Availability and Time Off

Learn how to manage staff availability and time off to help prevent scheduling conflicts and ensure accurate shift assignments.

Written by Naomi Sherman

Record time off and availability before scheduling shifts. Check overnight or partial-day conflicts where applicable.

Why this matters

Roles, brand access, event assignments, and notification choices work together. Review each of them so employees can do their jobs without seeing unrelated business or client information.

Before you start

You may need an owner or administrator role to change employee access or account-level preferences.

Add Employee Unavailability

To block time on an employee's calendar:

  1. Navigate to the Calendar

  2. Click Change Calendar

  3. Select View Employee Schedule

  4. Type the employee's name in Search Employees

  5. Select the appropriate employee

  6. Click on the unavailable date

  7. Enter the time-off or blocked period's Start Date and End Date

  8. Click Save

Return to Scheduling and check that the person is not offered for an overlapping shift. You can view all employee schedules by selecting the All Employee Schedule calendar view.

A useful decision

A time-off entry changes availability but does not remove the need to review shifts already assigned. Check the event calendar and tell the employee about any changed assignment.

Check the result

Check the person's access and notifications from their role. Review their event assignments separately.

Important to know

A role, brand assignment, and event assignment can each limit access. A missing alert may also be caused by the employee's communication preferences.

Time Off Requests

Employees can submit time off requests directly in Releventful.

  1. Navigate to the Calendar

  2. Click My Schedule, top left

  3. Click on the date that you wish to request off

  4. Enter the Reason

  5. Enter the Start Date and End Date

  6. Click Save

To view & edit all of your employees’ time off requests on the calendar, select All Employee Time Off calendar view.

Note: Drag across multiple days to request off for repeating days and and select Repeating Days Off for the type of request.

To select time off in the mobile app:

  1. Open Main Menu, side panel

  2. Click Time Off

  3. Click New Time Off Request

  4. Enter the relevant information

  5. Click Save Request

When employee requests time off, the following users will receive an email and bell icon notification with the ability to accept or decline the time-off request:

  • Admin

  • Owner

  • Employees with Scheduling Feature Permissions

When the time-off request is accepted or declined, the employee who requested the time-off will receive an email from the system letting them know.
