Connect and Use Cvent Event Diagrams Floor Plans in Releventful

Cvent Event Diagrams is a third-party floor planning tool that integrates seamlessly with Releventful, giving you the ability to visually communicate event layouts with clients and your team. Once connected, you can:

  • Associate Cvent Event Diagrams with events inside Releventful

  • Share floor plans in event To-Dos

  • Add floor plans to proposal templates

  • Access and manage floor plans directly from events and invoices

  • Open and edit diagrams directly within Cvent Event Diagrams

This guide walks you through how to connect your Cvent Event Diagrams account to Releventful, create or attach diagrams, manage sharing settings, and display them across your client-facing documents and internal workflows.


Important: You must have an active Cvent Event Diagrams account in order to connect with Releventful. Certain functionality may depend on your Cvent subscription level and enabled products. To view properties and rooms in Releventful, the team associated with the Cvent user you connect must be the owning team of that property within Cvent Event Diagramming (CED).

ℹ️ Existing Prismm Customers: If you are currently using the Prismm integration and would like to transition to the Cvent Event Diagrams integration, please contact Releventful Support by replying to the migration announcement post or emailing support@releventful.com.

Step 1: Connect Your Cvent Event Diagrams Account

To establish the integration between Releventful and Cvent Event Diagrams:

  1. Select the settings gear at the bottom of the left-hand navigation bar.

  2. Click Integrations from the menu.

  3. Choose Cvent Event Diagrams Setup.

  4. Click Connect to Cvent and log in with your Cvent account.

  5. Authorize Releventful to access your Cvent Event Diagrams data.

Once connected, your status will appear as Connected. Releventful will automatically maintain the Cvent authorization when possible. If Cvent can no longer refresh the connection, you may be prompted to reconnect and authorize your Cvent account again.


Step 2: Attach Floor Plans to Invoices or Event To-Dos

You can manage and share Cvent Event Diagrams floor plans in two places:

  • From the Invoice Editor: Click Floor Plan in the left-hand panel.

  • From the Event Edit Screen: Click the Floor Plan tab.

If no floor plan is currently selected, you’ll be prompted to choose one of the following:


Option 1: Search Existing Cvent Events

Search your connected Cvent Event Diagrams account for an existing event.

  • Use pagination and available filters to locate the desired event.

  • Select the appropriate event to load its associated diagrams/floor plans.

  • Once selected, the floor plan will become associated with your Releventful event.

ℹ️ Note: Cvent only returns properties and rooms when the team associated with the connected Cvent user is the owning team of that property within CED. If a property or room is missing, verify the property ownership/team assignment in Cvent and confirm you connected Releventful using a Cvent user on that owning team.


Option 2: Create New Cvent Diagram

Create a new Cvent Event Diagram directly from within Releventful.

During creation, you may be prompted to select:

  • Property

  • Room / Meeting Space

You may also optionally provide:

  • Diagram/Event Name

  • Attendee Count

Once created:

  • The diagram will be associated with your Releventful event

  • Releventful will store the public/shareable diagram link

  • All future edits and floor plan management will occur within Cvent Event Diagrams

ℹ️ Note: Depending on your Cvent subscription and account configuration, some advanced features such as layout automation, 3D views, Interactive Floor Plans (IFP), and automated seating layouts may not be available.


Step 3: Manage and Share Floor Plans

After your Cvent Event Diagram is selected, additional options will appear:

View Floor Plan

Preview the shareable version your client will see, based on your current sharing settings.

Edit Floor Plan

Open the Cvent Event Diagrams editor to modify the layout, design, or other settings within Cvent.

Sharing Options

To-Do Floor Plan Sharing

Click “Click to choose” to select a To-Do item where this floor plan should be attached.

Invoice Floor Plan Sharing

Use the toggle to display the floor plan directly on your invoice for clients to view.

Important: Public sharing must be enabled for clients to view the diagram through Releventful. Cvent public links are view-only. If a client needs to edit a diagram, they must be added as a collaborator with edit access within Cvent Event Diagrams and sign in to Cvent.

When public sharing is enabled:

  • Clients can view the diagram through the shared/public link without editing access

  • Clients who need editing access must be added as collaborators within Cvent and sign in to edit

  • Venue staff can continue to open and edit the diagram directly within Cvent, while Releventful surfaces the view-only public link throughout invoices, proposals, and event workflows


Step 4: Add a Floor Plan to a Proposal Template

If you’re using Proposal Templates, you can embed a Cvent Event Diagram directly into your template layout:

  1. Open the Proposal Template Editor.

  2. Click the plus (+) menu button in the upper right to add options to the template.

  3. Scroll down to the Floor Plan Options section and select Cvent Event Diagram Floor Plan to add the floor plan.

ℹ️ Note: The floor plan will only appear in the Invoice Preview, allowing you to include visual layouts while keeping your proposal editable and flexible during client review.


Additional Notes

  • Releventful relies on Cvent Event Diagrams as the system of record for all diagram editing and management after creation.

  • Properties and meeting spaces are returned based on Cvent team ownership. The team associated with the connected Cvent user must be the owning team of the property within CED for that property and its rooms to appear in Releventful.

  • Public/shareable diagram links are managed by Cvent and are view-only. Clients who need to edit a diagram must be invited as collaborators with edit access within Cvent.

Troubleshooting Cvent Connections

Property or room is missing

Verify that the team associated with the Cvent user connected to Releventful is the owning team of the property within CED. If needed, reconnect using a Cvent user on the correct owning team. If the property or room still does not appear, contact Releventful Support so we can help review the connection.

You are prompted to reconnect Cvent

Cvent periodically expires its authorization credentials. Releventful will refresh the connection automatically when possible. If the connection can no longer be refreshed, you will be prompted to reconnect Cvent. Complete the authorization prompt and Releventful will continue the floor plan action you were working on.

Client needs to edit a diagram

The public diagram link shared through Releventful is view-only. To allow a client to edit, add the client as a collaborator with edit access inside Cvent Event Diagrams. The client will need to sign in to Cvent to make changes.
