Automatically cancel or archive events from a sales stage

Use Event Helpers when a sales stage should trigger event cancellation or archiving.

Use Event Helpers when a sales stage should trigger event cancellation or archiving.

Steps

  1. Open Settings > Event Settings > Event Helpers.

  2. Check the business brand and configured sales stages.

  3. Choose the stage/action for automatic cancellation or archiving as appropriate.

  4. Save, then use a sample event to verify the result before relying on it for live lead cleanup.

Choose the action for its actual effect

Archiving hides the event from active calendar/pipeline views. Cancellation has separate event-automation effects. Do not use archive as a substitute for stopping automation, and do not treat either action as a refund or financial adjustment.

Existing events and stage changes

Review which stage changes will trigger the helper. Check a live event's state and scheduled work after a change rather than assuming every old record is updated when the helper definition is saved.

Scheduled work can stop

In the current stage-helper workflow, both automatic cancellation and automatic archiving deactivate the event's timeline entries and payment notices. Archiving is therefore not a safe way to hide an active event while assuming its automation will continue. Review scheduled work before and after the stage change.
