Contract Templates Tutorial

In this tutorial, we will review contracts within the Releventful platform. To locate the contracts menu, select the “templates” icon on the left hand navigation bar and select the “contract templates” menu that appears. If you have any existing contract templates loaded to the system, you will see these listed at the bottom of the page. For many accounts, we have loaded a sample contract template for you to review.

You can open any existing contract templates by clicking on them from the list. To create a new contract template, select the “add template” prompt in the upper right hand corner of the page.

Any of your existing contract templates can be copied. To copy or delete a contract, select the three dots drop down at the top of the page.

On the contract details page that appears, populate a name for your contract. If you have an existing PDF or Word Document of your contract, you can copy and paste those details into the contract field below. If not, you can use this space to build out the details of your contract agreement.

Utilize the token manager to add variables to your contract. These tokens are text placeholders that will adjust based on the details of the specific event and client. For example, you might want to add a token for the client’s first name, this can be found under the client category.

Or, you might want to add the date of the event. This token can be found in the event category. For the event date, you can choose how you want that date to appear with the short, medium or long date options. Hover over each of these options to see a preview of how the date will appear.

To add a token to the contract, place your cursor on the area you would like the token to appear. Next, open the token manager, locate the correct token and select “Add” to place this into the designated space in the contract.

To add a spot in the contract for the client to sign, open the “contract” category. Here you will see a token for an e-signature and initials. These can be placed anywhere in the text layout. The e-signature token can only be used once in the contract, but the initial token can be used multiple times. As a best practice, we suggest placing the e-signature token at the very bottom of the contract. The client will need to sign in these designated areas before submitting the contract to you.

Click the “save” button in the upper left hand corner of the page when you are ready to create and save your changes to this contract.

When a contract is added to a proposal or invoice, you have the option to make additional changes to their version of the contract. From the quick close invoice screen, select the contract tile and click on the “edit contract” button on the right hand side of the page. Make any edits to the contract as needed.

Scroll to the bottom of the page and review the signature boxes that your client will sign when they receive this contract in their event portal.

You have the option at the bottom of this page to sign as the business signer. Add your name to the “business counter-signer” field if you would like to sign the contracts alongside your clients. When added, your name will appear as one of the contract signers.

When the contract is signed, you can configure Releventful to change the event status of this event to one of your choosing. By default the contract will inherit any existing configuration settings you have enabled in the platform for the event status change when a contract is signed. However, you can use this space here at the bottom of the contract to override those default settings.

With this option, you can override the default settings and set a specific event status that is reflected for this event when the contract is signed. There is a hyperlink at the bottom of the page to view the default settings if you need to confirm or change the defaults that are in place.
