Set up convenience fees for card and bank payments

Set card and ACH fees, review one unpaid payment, and apply supported fee changes to eligible existing payments.

Written by Elisa Bedin

Use convenience fees to add the configured fee when a client pays by card or bank draft. Set the rate for the payment method, then review the client payment experience before using it.

Before you start

You need access to payment schedules or permission to edit the invoice payment. Available settings depend on your connected payment processor and payment mode. Releventful accepts rates up to 3% in these controls; enter a number such as 3, without the percent sign.

Set fees in a payment schedule

  1. Open Billing & Sales and select Manage Payment Schedules.

  2. Open the schedule you want to use.

  3. Enter the Credit Card Convenience Fee (%). Where available, enter the ACH Convenience Fee (%) separately.

  4. Enter the Fee name on the invoice, using wording your clients will recognize.

  5. Save the schedule. Check which event types use it before relying on it for new invoices.

To choose the automatic schedule for an event type, open Automations > Manage Portal Templates, select the event type, and review Booking Your Lead > Payment Schedules > Edit Active Payment Schedules. Check a sample invoice to confirm the intended schedule and fees.

Change the fee on one unpaid payment

  1. Open the correct event and invoice.

  2. Open Payments, or choose Manage payments from your customer from Invoice Home.

  3. Open the unpaid payment request and select Processing.

  4. Review the card fee, ACH fee where available, and Convenience Fee Label.

  5. Save, then review the client payment view for the selected payment method.

Use this route for a change to one existing payment. Changing the reusable schedule alone does not confirm that an existing invoice payment was updated.

Review fee changes for existing unpaid payments

When editing a payment schedule in Workflow Studio, you can review the supported changes before applying them to existing events.

  1. Save the draft and choose Review saved draft, then Review event impact.

  2. Review the matching events and the current and proposed payment settings.

  3. Select only the available fee or payment-method updates you intend to apply.

  4. Read the confirmation and choose Publish and apply selected changes.

  5. Review the results and open a sample affected invoice to confirm the settings.

Paid, partially paid, processing, and checkout-started payments are protected. Only changes offered for review can be selected. This process does not change payment amounts, due dates, or the payment series. Publishing settings alone is separate from applying selected changes to existing payments.

What your client sees

The fee is calculated for the payment using the applicable payment method and settings. Review the payment total before submitting. A fee setting is different from the fee already collected on a completed transaction.

If a setting is unavailable

Check the payment processor, payment mode, and payment status. Some settings are unavailable when Stripe manages payment methods. Do not change a paid or processing payment to add a fee.

Releventful fees and Payabli fees

Releventful and the Payabli dashboard have separate convenience-fee settings. Do not enable both without reviewing the configuration with Releventful, because the client could be charged both fees. See Receiving Payments Through Releventful Pay vs. the Payabli Dashboard.
