Connecting Your Apps with Zapier

Releventful has partnered with Zapier to enable you to connect with thousands of applications you use every day.

With Zapier, you can automate workflows between Releventful and tools like Google Sheets, Facebook Lead Ads, Gmail, Slack, and more.


What’s New

Releventful now supports two-way Zapier automation, allowing you to:

  • Create leads from external systems

  • Update sales stages and event statuses

  • Add notes to events

  • Use dynamic dropdowns for easier setup

  • Support multiple business brands

  • Prevent automation loops automatically


Step 1: Copy Your API Key

  1. Go to Settings in the side navigation

  2. Click on the Business Setup tab

  3. Scroll to Connect with Zapier

  4. Click Copy to copy your API Key


Step 2: Make a Zap

  1. Log into Zapier (or create an account)

  2. Click Create Zap

  3. In the “Trigger” step, search for Releventful


Triggers (When This Happens)

Choose the event that will start your automation:

  • New Web Inquiry – triggers when a new website inquiry is received

  • New Lead – triggers when a new lead is created

  • Contract Signed or Deposit Paid – triggers when a contract is signed or deposit is paid

  • Sales Stage Changed – triggers when the sales stage changes

  • Event Status Changed – triggers when the event status changes


Connect Your Account

  1. Click Sign in to Releventful

  2. Paste your API Key

  3. Click Continue

Your account is now connected. You won’t need to reconnect it again.


Actions (Do This in Releventful)

After selecting a trigger, you can send data into Releventful using actions:

Create Lead

Create a new lead and event in Releventful from another app.

Update Sales Stage

Move a lead through your sales pipeline (e.g., Qualified → Negotiating → Closed Won).

Update Event Status

Update event status (e.g., Not Set → Booked).

Update Event Notes

Add or update notes (event description).


Key Concept: Event ID

Many actions require an Event ID.

  • This is returned from triggers and the Create Lead action

  • It is used to update the correct event

⚠️ Important:

  • Use the eventId field

  • Do NOT use the trigger’s id field


Example Workflow

Automate Lead Follow-Up

  1. Trigger: New Lead

  2. Action: Update Sales Stage → Qualified

  3. Action: Add Event Notes

  4. Action: Send Email via Gmail


Automate Booking Flow

  1. Trigger: Contract Signed or Deposit Paid

  2. Action: Update Event Status → Booked

  3. Action: Add Event Notes

  4. Action: Send Slack Notification


Multi-Brand Support

If your account uses multiple business brands:

  • The Create Lead action includes a Business Brand dropdown

  • Select the correct brand when creating a lead

  • If no brand is selected, the primary business will be used


Avoiding Automation Loops

If you create workflows like:

  • Event Status → Update Sales Stage

  • Sales Stage → Update Event Status

You may create a loop.

Releventful includes safeguards to prevent loops from Zapier-originated updates, but you should still:

  • Avoid circular automations

  • Use Zapier filters or paths when needed


Best Practices

  • Start simple (one trigger → one action)

  • Always map eventId for follow-up actions

  • Use dropdown fields for statuses and stages

  • Build workflows incrementally
