Creating a Workflow

Learn how to create, review, test, and publish a complete workflow using Rae and Workflow Studio.

Written by Naomi Sherman

Create one complete workflow that a venue team can understand and maintain: a trigger, an action, a recipient, and a time. Use Rae for a first draft, then inspect each field yourself.

Before you start

Pick a real example such as “after the event is booked, ask the client to complete the planning form 30 days before the event.” Know the event type and sample dates.

In Releventful

  1. Open Automations & Operations > Manage Portal Templates. Select the event type and click Edit workflow > Draft changes. For a new event type, click New event type, enter its name and brand, and click Create draft.

  2. Click Add workflow > Create with Rae. Describe the example in plain language, including the client or team recipient, the start condition, task or message, and due time. Supply a document or voice recording if that is easier; prepare and review its text.

  3. Answer Rae’s follow-up questions, choose how it should prepare message wording, and click Build draft with Rae.

  4. In Your draft timeline, open the new item. Use Open full editor to inspect the task title, instructions, form, message body, due-date rule, and completion reminder. Turn on the workflow and notification only when each is intended to run.

  5. Click Save draft. Click Review saved draft and resolve any disabled-item warnings. Click Try the client portal with a matching sample event; confirm the task appears at the intended time and with the intended client view.

  6. Click Review event impact, inspect eligible existing events, and select only changes you intend for them. Confirm the review. Choose Publish workflow settings for future use, or Publish and apply selected changes when you also want the reviewed changes on existing events. Reopen a representative event to check the result.
