Who Can See To-Dos in the Event Portal?

Explains the To-Do visibility and permissions model in the event portal — covering event team access, client sharing, and how to grant access to other contacts.

To-Do visibility in the event portal is permission-based by design. Different people on an event have different levels of access depending on their role. Here's how it works.

Event Team

All members of the event team can see every To-Do in the portal. This is intentional — Releventful is built to maintain full team visibility and transparency, preventing silos of knowledge and communication. Team-wide To-Do access is a core part of how the platform is designed to support the event industry.

The Client

Clients do not automatically see all To-Dos — only those shared with them. There are two ways to share To-Dos with a client:

  • Via a portal template — client sharing can be enabled automatically so that To-Dos are shared with the client when the template is applied to an event.

  • Manually from within the portal — if you create a To-Do directly in the event portal, you will need to explicitly grant the client access to it.

Other Event Contacts (Vendors, Non-Clients, etc.)

Contacts who are not part of the event team or listed as the client — such as vendors or other external contacts — do not have access to To-Dos by default. Access must be explicitly granted to each contact for them to be able to view a To-Do.

Summary

If a contact reports they cannot see a To-Do in the portal, check the following:

  1. If they are an event team member, they should have full To-Do visibility by default.

  2. If they are the client, confirm that sharing has been enabled either through the portal template or manually on the To-Do.

  3. If they are any other type of contact, verify that access has been explicitly granted to them.
