Best Practices for Taking a Payment Over the Phone

If you need to collect a payment while speaking with your client on the phone, you can guide them through the invoice payment process or enter their payment details while you are on the call.

The steps below outline the easiest way to prepare for the call and complete the payment with your client.


Accessing the Invoice

Before preparing the payment request, you will need to open the invoice for the event.

You can access the invoice in two ways:

From the Pipeline

  1. Click on the Lead in the pipeline.

  2. Select Quick Edit.

  3. Click Edit Invoice.

From an Event

  1. Open the Event.

  2. Click Collect Payment in the left side navigation.

Once opened, you will be on the Invoice Home Screen, where you will see the four tiles:

• Proposal (Only visible if proposal added)
• Contract
• Payment
• Invoice

Client Submits Payment

Before the Call

Before speaking with your client, prepare the invoice so the payment request is ready.

  1. If the contract has not yet been signed, turn off Show Contract on the left side of the invoice.

  2. Click the Payment tile.

  3. Add either:

    • a Payment Schedule, or

    • an Individual Payment Request for the amount you want to collect.

  4. Once the payment request has been created, return to the Invoice Home Screen.

Preparing these steps ahead of time allows the payment process to move quickly while you are on the call.


During the Call with Your Client

Once you are speaking with your client, you can complete the payment using the invoice preview.

  1. Click Preview in the upper-left corner of the invoice.

  2. Scroll to the bottom of the proposal and click Submit & Continue.

  3. On the Invoice screen, you will see the pending payment request.

  4. Click Pay and enter your client’s payment information while you are on the phone with them.

  5. Submit the payment.

Once submitted, the payment will process immediately and will automatically be recorded within the event invoice.


Result

After the payment is submitted:

• the payment processes immediately
• the payment is recorded on the invoice
• the event balance updates automatically


Tip

Many businesses prefer to guide the client through entering their own payment details while on the phone. This allows the client to securely enter their payment information while you assist them through the process.
