Choose a simple task when a client needs to take action, or a form To-Do when you need structured answers. Use a workflow when the same work repeats for an event type.
Choose the task
Simple To-Do: ask for an action, such as reviewing arrival instructions.
Form To-Do: collect answers, such as catering or Enhanced Services details.
Team task: keep internal preparation assigned and visible to appropriate staff.
Build the repeatable task
Open Automations > Manage Portal Templates, select the event type and choose Edit workflow. Create or open a draft.
Select Add workflow, choose To-Do, then Build manually.
Enter instructions and review assignment and sharing in Open full editor.
Build questions through Include a form > View & edit form, or follow the saved-form guide below for an existing questionnaire.
Set the completion deadline and reminder separately. Check enabled settings.
Select Save draft, then Test the portal to check the saved experience.
Select Review saved draft, then Review event impact. Read the proposed changes and confirmation before publishing.
Saving a draft does not make it live. Publishing an enabled workflow can create tasks or send real messages when its conditions are met. Review existing events separately; do not assume every event will receive the change.
